Colony FAQ: your questions answered
Short answers to what people ask before they start: what Colony is, what it costs during the trial, who it suits, what it does and does not do yet, and who owns your data.
Getting started
What is Colony?
Colony is business management software for service businesses and small teams, with a built-in CRM. It brings customers, quotes, bookings, jobs, invoices, payments, forms and e-signing, messaging, loyalty and reports into one system.
Is Colony free?
Colony is free during our trial launch period, and you do not need a credit card to start. Nothing is charged during the trial. We plan to introduce paid plans later, and the details are not final yet.
How do I get started?
Create an account and tell Colony what kind of business you run. It sets up starter services, document templates, a setup checklist and a menu that shows only what you use. Then add your customers one by one or import them.
Can I bring my existing customers across?
Yes. You can import customers from a spreadsheet or another tool. Imported records do not trigger your automations, so nobody gets an unexpected message.
Do I have to replace all my tools at once?
No. Start with the part that hurts most, such as bookings or invoices, and add the rest when you are ready.
Who Colony is for
Is it for my kind of business?
Colony is for service businesses and small teams of many kinds: trades, clinics and salons, consultants, agencies and IT firms. Tell it what you do and it tailors itself, and the use cases page shows how each one would use it.
Which countries and currencies does it support?
Colony is open to businesses anywhere. Tax, currency and number formats follow your company's own country, including VAT, GST and sales tax, and each currency is shown on its own and never mixed.
Does it work in Hebrew or other languages?
The public pages your customers see, such as booking, forms and signing, can be shown in Hebrew with a right-to-left layout. The Colony app itself is in English for now.
When is a spreadsheet still fine?
If you are one person with a handful of customers and no bookings or invoices to track, a spreadsheet can be enough. Colony starts to help when the same customer is typed in several places, or more than one person needs to work from the same information.
What Colony does
Can customers book online?
Yes. Share a booking link and people pick a slot from the availability you set. You can add rules to the link and choose whether a request is approved before it is confirmed. Reminder emails go out before a meeting, and meetings sync to your Google or Outlook calendar.
Can I send quotes and invoices and get paid?
Yes. Quotes and invoices use the prices you set, with real invoice numbering, part payments, credit notes and receipts. A Pay now button on the invoice lets customers pay by link, with automatic reminders. Issued invoices lock, and changes go through credit notes.
Does it send email, WhatsApp and SMS?
Yes, with consent records, STOP handling and quiet hours built in. Marketing needs consent and service messages do not. Replies to WhatsApp and SMS conversations are not yet sent from the inbox; replies to chat and email are.
Does it handle forms and e-signing?
Yes. Send forms and documents to be filled in and signed online. Signed copies come back as sealed PDFs stored on the customer record, and one document can go to several signers, in order or all at once.
What is still in beta?
Jobs and field work, and the Habitat storefront, are in beta. Adding loyalty cards to a phone wallet is not live yet. Everything else described on the features page works today.
AI helpers
What can the AI helpers do?
They can find a customer, draft a quote from your price list, summarise a job, help write emails, and suggest prospects that arrive as draft leads for you to approve. They use only the prices you have set.
Will the AI do things without asking me?
No. The AI helpers draft and suggest, and anything that changes your data shows you a confirmation first.
Your data and security
Who owns my data?
You do. Colony does not sell Customer Data and does not use it to train AI models. You can export it and reach it through the API.
Can I export or delete my data?
Yes. You can export everything in one click, and every record is reachable over a REST API. Customers can ask for their own data to be exported or erased.
Who can see what?
Colony has role-based access, so each person sees only what their role allows, and an audit log shows who did what. You can switch on two-step sign-in, check the login history, and restore deleted records from the recycle bin for 30 days.
Where are the Terms and the Privacy Policy?
Both are linked at the bottom of every page, and the sub-processor list is part of the Privacy Policy.
